Problem

The organization had no centralized system to manage users across organizations, services, and roles. Information about people lived in scattered tools and spreadsheets, making it difficult to answer basic questions like who belongs to which organization, what access they have, or what services they’re tied to.

As the platform scaled, the lack of structure created operational friction:

  • User data was fragmented across organizations and services

  • Admins had limited visibility into relationships between users, roles, and permissions

  • Auditing changes and tracking actions over time was cumbersome

  • Managing access at scale became error-prone and time-consuming

There was a need for a single source of truth that could support thousands of users while remaining easy to navigate and audit.

Solution

I designed a user and admin management portal focused on clarity, scalability, and administrative control.

The core experience centered around a structured, table-driven interface that allowed admins to view and manage large volumes of users and organizations efficiently. Key UX decisions included:

  • A centralized organizations and users view with clear ID, organization, and association mapping

  • Powerful table controls such as filters, column toggles, bulk selection, and exports to handle large datasets

  • Clear separation between system-level admins and organization-level admins to reduce confusion around permissions

  • An activity log that surfaces user actions and changes over time, providing transparency and auditability

  • Contextual actions embedded directly within rows to minimize navigation and keep workflows fast

  • Search and quick filters to help admins find users or organizations instantly, even at scale

The layout prioritized scanability and predictability, ensuring admins could manage thousands of records without feeling overwhelmed.

Outcome

The user and admin portal became the backbone for identity and access management across the platform. It replaced fragmented workflows with a single, reliable system that improved visibility, control, and accountability.

Admins gained confidence managing users at scale, onboarding and assigning access became faster and more consistent, and auditing user activity was no longer a manual or error-prone process. The system now supports growth without adding operational complexity, while remaining flexible enough to adapt to evolving organizational needs.
